Documents required for GSTR-9 filing
Filing GSTR-9 accurately requires copies of the year's GSTR-1 and GSTR-3B filings, GSTR-2B statements, complete books of account (sales register, purchase register, ITC ledger), and HSN-wise summary data. If GSTR-9C also applies, audited financial statements and the reconciliation working papers are needed in addition.
Return-level documents
Start with copies of every GSTR-1 and GSTR-3B filed during the financial year, along with the GSTR-2B statements generated each period. These form the base data that GSTR-9 largely auto-populates from, and having them on hand makes it far easier to spot where the auto-populated figures don't match what was actually filed or claimed.
Books of account
A complete sales register and purchase register for the year, reconciled to the returns filed, are essential — these are what GSTR-9's figures ultimately need to tie back to. Alongside these, maintain an input tax credit ledger showing ITC availed, reversed, and re-claimed through the year, since ITC reconciliation is one of the most scrutinised parts of the annual return.

Talk to a CA →HSN summary and other supporting data
Table 17 and 18 of GSTR-9 require HSN-wise summaries of outward and inward supplies — keep this data maintained through the year rather than reconstructing it at filing time. Also gather details of any demands, refunds, and amendments relating to the financial year, since these are captured in separate sections of the return.
Additional documents once GSTR-9C applies
Once aggregate turnover crosses ₹5 crore and GSTR-9C becomes applicable, you'll also need the audited annual financial statements for the year (balance sheet and profit and loss account), along with working papers showing how turnover, tax paid, and ITC in the books reconcile against what's reported in GSTR-9. Even where a statutory audit isn't otherwise mandatory for the business, having financials prepared to a similar standard makes the GSTR-9C reconciliation considerably more reliable.
A practical checklist to start with
At minimum, before starting the filing process, have on hand: all GSTR-1 and GSTR-3B filings for the year, GSTR-2B for each period, sales and purchase registers, the ITC ledger, HSN summary data, and — if applicable — audited financials. Assembling these upfront turns GSTR-9 filing into a reconciliation exercise rather than a scramble to locate records against a deadline.
Do I need audited financial statements to file GSTR-9?
Not strictly for GSTR-9 itself if your turnover is below the ₹5 crore threshold that triggers GSTR-9C. That said, having financials prepared to a reasonable standard is useful even below the threshold, since GSTR-9's figures should tie back to your books. Once turnover crosses ₹5 crore and GSTR-9C becomes applicable, audited financial statements become a required input for the reconciliation statement.
