GST registration documents required — checklist for proprietorship, partnership, and company

Quick Answer

Every GST registration needs PAN, identity/address proof of the applicant, proof of the principal place of business, and bank account details. Companies and LLPs additionally need the Certificate of Incorporation, MoA/AoA (or LLP agreement), and a board resolution authorising the signatory. Missing or mismatched documents are the single biggest cause of REG-01 queries and delays.

Documents common to every business type

PAN card of the business (or of the proprietor, for a proprietorship), a passport-size photograph of the proprietor/partners/directors, proof of the principal place of business, and bank account proof — a cancelled cheque, the first page of a passbook, or a bank statement showing the account holder's name, account number, and IFSC code.

Proof of principal place of business

If the premises is owned: a copy of the property tax receipt, municipal khata, or electricity bill in the owner's name. If rented: a registered rent or lease agreement along with the owner's electricity bill or property tax receipt. If neither: a consent letter from the premises owner, along with their identity proof and a utility bill, is generally accepted.

Proprietorship-specific documents

A proprietorship needs only the proprietor's own PAN and Aadhaar — there is no separate business PAN, since the proprietorship and the individual are legally the same entity for tax purposes.

Partnership firm documents

The partnership deed, PAN of the firm, and PAN plus identity/address proof of each partner. If the firm is registered with the Registrar of Firms, the registration certificate should also be kept ready, though it is not always mandatory for GST purposes.

LLP and company documents

Certificate of Incorporation, PAN of the LLP/company, LLP Agreement (for LLPs) or MoA and AoA (for companies), PAN and identity/address proof of all designated partners or directors, and a board resolution or letter of authorisation naming the authorised signatory who will sign and submit the application using their DSC or Aadhaar-based e-sign.

Digital Signature Certificate (DSC) requirement

Private Limited Companies and LLPs are required to sign the GST application using a Class 3 Digital Signature Certificate of the authorised signatory — Aadhaar e-signature is not accepted as a substitute for these entity types, unlike proprietorships and partnerships where Aadhaar-based e-sign is sufficient.

Frequently Asked Question

Can I use my home address as the principal place of business for GST registration?

Yes. A residential address can be used as the principal place of business, particularly for freelancers, consultants, and small e-commerce sellers operating without a separate commercial premises. You will need to submit the same proof — an electricity bill or property tax receipt in the owner's name, plus a rent agreement or consent letter if the property isn't in the applicant's own name.
